The Toolbar
The Toolbars at the top and bottom of your OmniOutliner window contain buttons for commonly used commands and functions, making them accessible with a single click or tap.
This chapter is structured to help you quickly find the toolbar information you need:

Action Menu ![]()
Available on Mac in the top toolbar, after customization
The Action menu includes many commonly used commands from the Edit Menu, Format Menu, View Menu, and Organize Menu.
In addition to including those commands in their original menus, we have placed the ones we think you will use most in this compact menu. The contents of the action menu change based on your selection. With nothing selected, the only item in the menu may be Paste; with one or more items selected in the outline, the menu includes additional options.

Add a row to the outline that is beneath and at the same level as the currently selected row.

Apply Theme ![]()
Available on Mac in the top toolbar, after customization
Click the Theme button in the toolbar or choose Apply Template Theme… to open the Template Picker and choose a theme to apply to your document.
To theme an outline is to take the set of styles stored in an OmniOutliner .otemplate file and apply them to the current document. This overwrites any existing saved styles in the document’s Styles Sidebar tab (but leaves styles directly applied to text intact).

Attachments ![]()

On Mac,
the
Attachments button
uses the
Attach File
command.
On iPhone, iPad, and Apple Vision Pro, this button provides you with options for:
- Photo Library — Attach selected photos from your photo library.
- Take Photo — Attach a new photo.
- Attach File — Attach a file using the Document Manager. This works similarly to Mac, but always embeds attachments, without an option for linking.
- Scan Document — Attach a newly scanned document.
- Record Audio — Attach an Audio Recording.
There are two additional ways to attach files:
- Control + click or touch and hold an item in another app to reveal the shortcut menu, then select Copy. Switch to OmniOutliner, select the location in your document you would like to place your attachment, and select Paste from the shortcut menu.
- Drag an item from another app (such as Safari) to OmniOutliner.
When you attach an image or PDF file, a preview automatically scales to the width of the column in which it appears. Other types of files appear as an icon with their filename.
If you press and hold on an image or PDF file, you will see the Attachment Shortcut Menu.
Audio Recording ![]()

Start Recording.
OmniOutliner starts recording as soon as you select the
button,
and updates to show additional options:
- The Recording bar will appear just below the top toolbar on Mac, and in the bottom toolbar on iPad, iPhone, or Apple Vision Pro.
- The bar contains a button to Pause the recording.
- Pausing the recording shows a Resume button.
- Selecting the Checkmark will end recording, and save it as an audio attachment.
On Mac,
the
button in the top toolbar is also replaced with a button to end recording.
On Mac,
if you click the
Info button for the audio recording,
the
Edit Attachment Properties
dialog will appear.

Collapse All ![]()

Show or hide the Colors window, to make adjustments to the selection color.

Columns ![]()

Note that this item displays as
in the toolbar.
Allows you to hide or show specific columns.
- Note — Hide or show the Notes column.
- Topic — The Topic column cannot be hidden; it is always viewable.
- All other columns — Each additional column can be hidden or shown.
Since you can change the default name of the column heading from Topic to anything else, the options you see in the Columns submenu will reflect the titles you’ve assigned to the column headings, including text or any Emoji characters you may have used.

On narrow devices the document title is hidden to leave room for additional tools. You can change the title of your document by tapping the file name in the Document Manager.

Filter ![]()

Shows the Filter bar at the top of your document, which allows you to enter search terms to filter the outline, so that only rows and notes containing those terms display.
- Select the
Filter button to
change the scope of the filter from Entire Document
to a specific column, or the Notes field. - Select the
button to clear the field,
and close the Filter bar. - Select Save as Filter to use this filter in the future.

Flexible Space ![]()

This toolbar button will only appear after you Configure OmniPresence, and only when viewing your OmniPresence folder, or documents stored inside the folder. The button appears in the Document Manager on iPad, iPhone, and Apple Vision Pro, as well as in the top toolbar on iPhone.
When editing a document synced with OmniPresence, the button can have several appearances:
Ready —
OmniPresence is online,
and ready to sync files.
Your document will automatically sync changes,
but you can also tap the button to start a sync.
Syncing —
OmniPresence is syncing changes.
Download —
Tap the icon to download your document.
Error —
OmniPresence has encountered an error.
This may be due to an invalid name or password,
or something as simple as an intermittent Internet connection.- Tap the icon to display the error. This may suggest an immediate fix for the problem.
- Double-check your Omni Account name and password.
- Check your network connection in System Settings.

Outdent ![]()

Tap
to outdent the selected row, making it a parent of the row or rows below it.

Re-create the most recent change that you just used Undo to reverse.
You can keep redoing edits, allowing you to return to a later point in time.

Remove Column ![]()

Select Mode ![]()

Switch to Select Mode to select multiple rows, then make simultaneous edits to all rows you have selected.
While in Select Mode,
tap a row anywhere to select or deselect it.
With one or more rows selected,
additional tools are available;
depending on the width of your device,
some of them may be hidden behind a
More button.
Tap Select All to select all rows.
Tap the checkmark to exit Select Mode.
To paste rows that you have cut or copied:
- Tap the checkmark to exit Select Mode.
- Select the row next to where you would like the pasted rows to appear.
- Touch and hold the row to show a shortcut menu.
- Tap Paste then choose Above, Below, or Inside to add the copied rows as peers above or below the selected row, or as children of the selected row.

Opens a system menu containing options to share either selected items, or the open document (iPhone only), to another application.
Choose from a list of available destination applications, or select Edit Extensions… (on Mac) or More (on iPhone) to customize the available options.
Selected rows are shared as plain text. If you share the open document, you can choose from several formats; to learn more about available options, read Exporting from OmniOutliner.

Show Console ![]()

Opens the Automation Console.

Ungroup the rows of a selected group, turning the children of the parent row into peers of the parent row.
The parent row can then be removed, if you choose.
