Using Forecast Tag to create a daily repeating task list

OmniFocus Pro offers a Forecast Tag feature which can be used to add items to the Today section of the Forecast, even if they aren’t due today. This is a great way to highlight items that need to get done, but aren’t specifically due today — or, for daily tasks that you want to see in your queue for Today, regardless of if you completed them the day prior.

1. Pick a tag to associate with your daily errands

Create a tag with a name like Today, Daily, or whatever name you want to associate with this repeating agenda.

2. Tell Forecast to show items with that tag

Open the Forecast perspective, then tap the View Options eyeball icon in the toolbar above the main outline.

  • On Mac, click in the Today shows items with this tag field, then select the desired tag.
  • On iOS, under Today Includes tap the Tag row, then select the desired tag.

Forecast Tag is a Pro-only feature

3. Assign that tag to tasks that should appear in Today

When you find a task that should appear in Today, tap the item, and assign it that tag as you would normally. (Remember that you can use batch editing to assign tags to a bunch of tasks at once.) In each version of OmniFocus, there are also some shortcuts to assign the Forecast Tag more quickly:

  • On Mac, you can use the menu option under Edit > Add Tag “Today” or its associated keyboard shortcut Control-Command-L to quickly assign the Forecast Tag to any selected item(s).

  • On iOS, you can swipe right on a task to reveal an option to assign the Forecast Tag to this action, next to the Flag shortcut.

4. For items that reoccur, set up your repeat settings

For an item that shows up in the Forecast every day, regardless of prior completion, start by assigning the Forecast Tag. Then, try these Repeat settings:

Repeat Every:      1 day
Schedule the Next: Defer Until Date

The item does not need to be assigned a due date, unless you want to have badges/notifications for items that aren’t checked off. With the above settings, an item will appear in the Today section of the Forecast. After being checked off, a new instance of the task will be created, with a defer date one day from now. That will hide the item from view until tomorrow, at which point the new item will appear in the Today section of the Forecast again.
